Definition

A Grade Note is the additional information related to the grade or course standing assigned to a student, documented for administrative purposes only.

Purpose

The primary purpose of the Grade Note attribute is to document the rationale for the assignment of a specific course standing to a student. This guideline has been created to provide recommendations around the text entered for this purpose, to encourage consistency in data entry. For more details on the Grade Note attribute, please see the Assessment Outcome Data Standard.

Guideline

The following guidelines are recommended when creating a Grade Note for the purpose of documenting the rationale for the course standing assigned to a student:

  1. The text should be as brief as possible while providing enough information for administrators to understand the rationale for the course standing assigned to the student.
  2. The Grade Note field should not include information about the circumstances for any special standings that are approved.
  3. Abbreviations and acronyms should be avoided unless they are commonly understood by all administrators.
  4. Special characters should generally be avoided unless needed for clarity.

The following are examples of course standing rationales that follow the above guidelines:

Text
Student did not write the final exam
Standing Deferred extension granted for X months
Supplemental exam final outcome X%
Standing to be changed to Honours
